Where we get information from
If we don’t get information directly from you, it may come from third sector organisations, suppliers, or service providers that we work with. We may also use information from publicly available sources. When third parties provide us with their data, we follow their internal policies as well as our own.
What we collect and why
Whether you are a volunteer, supporter, third sector staff member, or simply a friend, we collect your information so that we can provide our services, including project delivery and third party referrals. This normally includes your name, contact details, and address.
We collect website user information (including user journeys and cookie tracking) and marketing preferences so we can give you appropriate service updates or marketing. To help promote our work, we may collect recorded images, such as photos or videos, and records of consent about this media.
As a charity, we may take your payment or banking details, taxpayer information for Gift Aid, or financial transaction information so we can receive donations and funding, or organise fundraising activities.
To comply with legal requirements and provide the best possible services to you, we may collect data about your sex, gender, health, disability, religion, race and ethnicity. This is ‘special category’ data and may be used for monitoring and improving policies, processes, and practices, especially about equality, diversity, and inclusion.
So we can give you the right support when you contact us, we may hold your service use history, client accounts and records, records of meetings and decisions, or correspondence. We may also collect information from you to deal with any queries, complaints, or claims, or for research or archiving purposes.
We may collect further information such as identification documents for specific circumstances, such as recruitment. We’d be explicit about this process with you.

Access - get copies of your personal information. You can also request other details such as where we get personal information from and who we share it with. There are some exemptions that mean you may not receive all the information you ask for.
Rectification - correct or delete personal information you think is inaccurate or incomplete.
Erasure - ask us to delete your personal information.
Restriction - limit how we can use your personal information.
Objection - object to our processing of your information.
Data portability - ask that we transfer the personal information you gave us to you, or another organisation.
Withdrawal of consent – when we use consent as our lawful basis you have the right to withdraw your consent at any time.
These are legal rights, so they only apply in certain circumstances and have some exemptions.
How long we keep and how we look after your information
In line with our Privacy Policy and Retention Schedule, we keep information no longer than is necessary, or than we need to for our legal obligations.
It’s extremely important to us that your information is secure, so we review our collection, storage, and processing practices as needed. We do everything we can, in line with our Privacy Policy, to prevent any unauthorised access, disclosure, alteration, or destruction of the information we hold.
